Rental Information

BOOK YOUR UNIT ONLINE:

You may book your unit online 24 hours a day, 7 days a week.  You may also reserve a unit by calling 760-434-6858 or emailing us at support@villagerealtors.net.  Our hours are Monday through Friday from 9:00 AM to 4:00 PM..  We are online almost all day everyday, so you may feel confident that this is a great and inexpensive way to contact us.  In the event the unit you book requires owner approval first, go ahead and reserve it and we will contact the owner for approval.  This way, you won’t lose out during the contact process.

SECURING YOUR RESERVATION:

A $250.00 Security Deposit and a $35.00 non-refundable Reservation Fee MUST be received within 15 days of your booking date to secure your reservation.  Your reservation may be cancelled without further notice if this is not received.  A vacation rental contract will be sent to you after the reservation has been made and it must be signed and received by The Village Realtors within this same 15-day period.  The remaining balance is required to be paid 60 days prior to your arrival date. Personal checks are acceptable for all payments provided the check is received 30 days prior to the vacation arrival date. Otherwise, the payment must be in the form of certified or cashier’s check, money order, MasterCard or Visa. A $25 service charge on all returned checks will be added to your balance.

CAR RENTAL SERVICE:

The Village Realtors is able arrange a rental car for your stay through Avis and Budget.  We are able to give you a quote and reserve your car at the same time we reserve your unit.

TRAVEL PROTECTION PROGRAM:

Travel Protection Insurance is available through Access America and is included as an option in all of our contracts.  You are required to opt out if you don’t want the insurance, otherwise The Village Realtors will arrange the insurance on your behalf.  For your convenient review, we will enclose a separate document from Access America, which clearly explains the Vacation Rental Protector and the numerous benefits it provides.  As you will see, this travel insurance will protect you against cancellation or interruption (up to $20,000) should you become unable to go on your vacation or have your trip cut short for some unforeseen reason.  It also includes baggage loss or delay, emergency medical transportation and much more.  The Village Realtors will arrange the insurance for you and the policy will be sent to directly from Access America.  The fee for the insurance is 4.5% of non-refundable costs. Travel Protection Insurance must be purchased at least 30 days prior to arrival or at the time you make your reservation, whichever is earliest. The Village Realtors receives a portion of this fee for processing the insurance purchase.

CANCELLATIONS:

In the event of a cancellation of a confirmed rental for any reason, The Village Realtors must be notified in writing and will make every reasonable effort to re-rent the property. If the property is re-rented for the original vacation rental agreement amount, tenant will receive a refund of the advance rental payment less $150 cancellation fee.  If re-rented for less than the original rate, tenant will be required to “make-up” the difference and it will be deducted along with the $150 cancellation fee. All refunds will be made within 60 days of receipt of the re-rented advance rental payment. If the property is not re-rented, no refund will be paid. If you purchased the optional Travel Insurance, that insurance premium will not be refunded.

CHECK-IN AND CHECK-OUT:

Check-in time is between 3:00 p.m. and 5:00 p.m. on the day of your arrival. If you are unable to check-in during this time period, please call us in advance so we can make after hour arrangements for you. We can only provide for late check-in if your balance has been paid in full and your lease has been signed and returned to us.

Checkout time is 10:00 a.m. on the day of your departure, NO EXCEPTIONS!  Please observe this rule, as our housekeeping staff needs time to prepare for our next guests. Upon leaving, please secure all windows and doors, wash dishes, clean out the refrigerator, remove all trash, leave all towels and linens by the front door and return keys to either the HOA office in North Coast Village or if the rental is not in North Coast Village, return your keys to where you picked them up (either the lockbox or our office) by 10:00 a.m. on your scheduled day of departure.  A key drop is available at the HOA office in North Coast Village for checkouts prior to 9:00 a.m..

PET POLICY:

Properties that allow pets are indicated in the listings. Please call us to confirm availability for your pet as the pet must be pre-approved by The Village Realtors.  If we do approve your pet, an additional deposit of $500 (minimum) will be required along with a $100 fee for mandatory flea extermination upon your departure.  Pet owners are financially responsible for damages and extra cleaning required as a result of the pet’s stay.  There are no pets allowed at North Coast Village.



EQUIPMENT & CONDITION OF UNITS:

Homes are furnished with dishes, cookware, flatware, glasses, and basic appliances. Each rental is individually owned and they vary in how they are equipped.  You will be provided with bed linens and towels, however, beach towels are not available in every unit.  Please be sure to pack any specialty items that you may require during your stay.

Every effort has been made to ensure that we have described your rental property accurately, however, we are not liable for changes the owner has made or if the photos on the website don’t match exactly to what you see when you arrive.  We will be unable to move you to another unit based on these issues.   All equipment in the cottages should be in working order. Please report any inoperative equipment to our office. Every reasonable effort will be made to promptly repair the same. No refunds will be made for inoperative air conditioners, appliances or for mechanical failure, or delays in utilities.

SECURITY DEPOSIT:

Each reservation is subject to a security deposit as detailed in your Vacation Rental Agreement. Tenant may use cash or a valid Visa or MasterCcard card (no American Express or Discover cards). The Village Realtors shall utilize tenants credit card or cash security deposit to reimburse owner for: Damages; Broken or missing items; Long distance phone calls (subject to $20 service charge) repayment; Cleaning beyond normal wear and tear; Late check-out; Keys not returned. The Village Realtors has a thorough inspection policy to ensure our rental units are in good condition and that tenants will not be inadvertently billed for missing or broken items. Please assist us by reporting any missing or broken items to our office within 24 hours so that you will not be held responsible.

If your home requires extra cleaning because you left it in poor condition, you may be charged an additional cleaning fee. Two (2) KEYS and ACCESS CARDS (if North Coast Village) will be issued at check-in. A charge per key will be deducted from your security deposit for keys/cards not returned.

OCCUPANTS:

Occupants signing the contract must be to be an adult 25 years of age or older. In addition, all occupants of the house must be either the tenants named in the contract or registered guests of the tenants named in the contract.  Total occupants are not to exceed the limited sleeping arrangements defined in the contract. North Coast Village limits their 1 Bedroom units to 4 guests and their 2 Bedroom units to 6 guests.  If occupants do not comply with these restrictions, occupants will be refused entry onto the premises and no rent will be refunded. NO EXCEPTIONS. The Village Realtors will not allow overcrowding of the property beyond the existing bedding. No RVs or campers may be parked on the premises for the purposes of extra sleeping capacity.

CONSTRUCTION:

The Village Realtors cannot predict construction plans in the area and therefore cannot be responsible for any construction that may be occurring near one of our beach cottages. No compensation or moves to other properties will be considered.

LOCKED CLOSETS:

Contain owner’s personal property. Please respect these locked closets, cabinets or rooms. They are not included as part of your rental.

ITEMS LEFT BEHIND:

The Village Realtors cannot be held responsible for items left behind. Please double-check your cottage for personal items prior to departure.  If we are able to find and return your items, payment for shipping must be made by tenant in advance and The Village Realtors is not liable for lost or damaged shipments.  A $30 handling fee will be charged to arrange the shipping. 

RETURNING GUEST RESERVATIONS:

Current guests have first priority to reserve the same unit for next year during the same rental week. Notify The Village Realtors of your intention to occupy next year so we may roll over your security deposit.  The roll over deposit allows you to hold a reservation in your name for the following year and is then applied toward your next year security deposit.  All other reservations are taken on a  “first come, first served” basis.  Rental rates and availability are not guaranteed and cannot be confirmed until the agreements for the following year are sent out.

UNITS FOR SALE:

Tenant understands that a vacation rental property may be listed for sale. The owners reserve the right to have their agent show each rental unit for sale to potential buyers. Every effort will be made to schedule the showing so that it does not interrupt the tenant’s vacation. Tenant understands that in the event of a sale or transfer of the rental property, the new owner may not honor a rental that has been booked in advance.  The Village Realtors does everything possible to insure the reservation is honored, but cannot guarantee the actions of any owner.

BUSINESS SERVICES:

Such as fax and copy machines are available at our office for a small fee.
